Time and attendance for security, cleaning and staffing companies

Clock in at the client site

The employee clocks in by phone, and the location is checked against the site radius only at the moment of the punch. At a guard post or equipment room you can put up an NFC tag linked to the site.

A work site per client

Set up each client, or each client branch, as a work site. Every punch is recorded with the site where it was made, and there is no limit on the number of sites.

A supervisor per client

Create a department per client or region. The supervisor sees and approves only their own people, and the system admin sees the whole company.

Hours per client

For staff who move between clients, open a project per client and the employee logs their hours to it. The project report shows hours per project and employee, with Excel export.

Nights, Shabbat and overtime

A shift that runs past midnight counts as one shift. Overtime and Shabbat and holiday rates are calculated automatically from the work profile.

Pay only for who works

You pay per active employee. Someone who left and is marked inactive is not counted, and their file is kept.

A working day at a services company

  1. ThursdayThe coordinator publishes next week’s shift schedule. Employees get a notification and see in the app when they work.
  2. 06:00, guard postThe guard taps their phone on the NFC tag at the post, and the punch is recorded with the client’s site.
  3. 07:15, at the supervisorThe dashboard shows who has arrived and who hasn’t. A cleaner is missing at one site — the supervisor publishes an open shift, and an available employee asks to take it.
  4. 22:00, night shiftThe shift runs past midnight and counts as one shift. If someone forgets to clock out in the morning, the supervisor gets an alert and fixes it with a reason saved in the log.
  5. Month-endHours, overtime, nights and Shabbat are already calculated. Review, lock the month and export to payroll.

What to know about nights and Shabbat

Under the Hours of Work and Rest Law, night work is a workday with at least two hours between 22:00 and 06:00, and the regular night workday is 7 hours. Work during the weekly rest is paid at 150% at least. Details in our guide to the Hours of Work and Rest Law and in overtime and Shabbat and holiday rates.

In RayClock, on a day with a shift in a published schedule, the day’s quota is the length of the shift, and anything beyond it counts as overtime. So it is worth building the night shift template around a 7-hour workday.

This is general information, not legal advice. The security and cleaning sectors also have sector extension orders, and they, collective agreements or personal contracts may give employees more.

Practical questions

An employee moves between several clients. How do we know how many hours they worked for each?

Every punch is recorded with the site where it was made. To total hours per client, open a project per client and the employee logs the day’s hours to it — with a timer or by adding hours. The project report shows hours per project and employee, with Excel export.

What does the monthly report show when filtered by site?

The employees who clocked in at that site during the report period, with all their hours for that period — not only the hours at that site. For a per-client breakdown, use projects.

Staff turn over constantly. Do we pay for people who left?

No. You pay only for active employees. Someone who left and is marked inactive is not counted. A new employee gets an invitation by email or SMS, picks a password and can clock in from their phone.

Some staff have no smartphone. What then?

Issue them a personal NFC card and they clock in at a kiosk — an NFC-capable Android tablet connected to the internet. The kiosk has to be at the site where they work.

Does the system track employees during the shift?

No. The location is checked only at the moment of the punch, and only if you turned on location verification. For the legal side, see the GPS time clock guide.

Which languages is the app in?

Hebrew, English and Russian. Other languages are not supported yet.
