What you can do from the chat

What the assistant sees and does depends on the role of the person who connected it and their RayClock permissions. Changes are possible only if you chose “allow changes” when connecting.

Admin

  • Ask: who is at work, recent punches, absences, monthly hours, overtime and shortages, the shift schedule
  • Attendance: add missing punches, correct a punch’s time (with a reason), close open punches in bulk, record an absence
  • Approvals: leave requests and profile change requests
  • Employees: add an employee and send an invitation, update details, deactivate and reactivate, assign a work profile, set which sites each employee may clock in at, manage departments
  • Month-end: export reports and the payroll file, lock the month, send a scheduled report
  • Shifts and announcements: assign, copy a week and publish the schedule; send an announcement to the team

Department manager

The same attendance, approval and shift actions — only in the departments they manage and within their RayClock permissions (correcting a punch’s time needs the team-edit permission). A manager can’t lock the month, send scheduled reports or manage employees, departments or announcements.

Employee

Only their own data: hours this month against the standard, missing days, punches, leave balances and their monthly report. With “allow changes” they can request an absence (goes to their manager for approval), add a forgotten punch (if the company lets employees correct their own) and submit their monthly report.

Managers and employees can connect only if the admin allows it. A few sensitive actions stay in the app only — see below.

Month-end, without the manual work

Instead of switching screens and fixing things one by one, you write one sentence — for example “Close September and do whatever it takes”. The assistant works through the steps, asks when a decision is needed (such as whether a missing day was sick leave or a forgotten punch) and asks for your approval before each change.

See it step by step

  1. “What’s left to close before September payroll?” The assistant runs the month-end checklist: open punches, workdays with no report and no absence, pending leave and profile change requests, and whether the month is already locked.
  2. “Close all open punches at the shift’s scheduled end time” It lists each open punch with a proposed clock-out from the work schedule, and once you confirm, closes up to 50 at once — night shifts included.
  3. “Add a clock-in at 8:00 and clock-out at 17:00 for Dana Cohen on Tuesday — she forgot to clock in” Add a single punch or a whole missing day. And if the missing day was really a sick day: “Record a sick day for Avi on September 14.”
  4. “Approve all pending leave requests in Sales” All requests are approved at once, and leave balances are charged exactly as they are in the app.
  5. “How much overtime did each employee have in September?” For every employee: hours worked vs. expected, shortages, overtime at 125% and 150%, days present and absences by type.
  6. “Export the September payroll file” The payroll file in the format configured in RayClock, as a one-time download link valid for 15 minutes. The file goes straight to your browser.
  7. “Lock September and send the report to the accountant” The month is locked and the scheduled report is emailed now to the recipients set in RayClock. If open items remain, the assistant won’t lock unless you explicitly insist.

Before you start

Who connects

By default, a company admin connects, with their usual RayClock email and password. Want managers or employees to connect their own assistants too? The admin turns that on under System → AI assistants.

A plan that allows connectors

You need a Claude or ChatGPT account that lets you add a custom (MCP) connector. Most paid plans do; on a business account, the account admin may need to allow it.

Connect Claude

  1. Open settings On claude.ai, click your name in the corner, then Settings → Connectors.
  2. Add a custom connector Click Add custom connector. Name it RayClock and paste the connector address. Click Add.
  3. Sign in and allow Click Connect. A RayClock tab opens — sign in with your RayClock email and password, and on “Connect Claude to RayClock?” click Allow. On the same screen you choose whether the assistant may also make changes (ticked by default) or stays read-only.
  4. Ask Start a new chat, make sure RayClock is on in the tools menu by the message box, and ask. The first time, Claude may ask permission to use a tool — choose to always allow.

On Claude Team or Enterprise, only the organization owner may be able to add connectors, from the organization settings. Once added, each user who’s allowed to connect signs in with their own RayClock details.

Connect ChatGPT

  1. Open plugins On chatgpt.com, go to Plugins → Add → Custom MCP server.
  2. Fill in the form Set Name to RayClock. The description is optional. Under Connection choose Server URL and paste the connector address. Leave Authentication on OAuth; Advanced OAuth settings need no changes.
  3. Confirm and create Tick I understand and want to continue and click Create as a plugin.
  4. Sign in and allow A RayClock tab opens — sign in with your RayClock email and password, and on the connection screen click Allow. On the same screen you choose whether the assistant may also make changes (ticked by default) or stays read-only.
  5. Ask In a new chat, pick the RayClock plugin and ask. ChatGPT may ask you to confirm before each tool call.

ChatGPT’s warning about custom MCP servers appears for every outside connection. With RayClock nothing changes without your approval, and you can always choose a read-only connection.

Safe, recorded and under your control

Nothing changes without you

Before every change the assistant shows exactly what will change, and Claude or ChatGPT asks you to confirm. When connecting you choose: read only, or also “allow changes” (ticked by default). Existing connections stay read-only until you reconnect.

Same rules, same records

Every change goes through the same rules as the app: locked months, required reasons for attendance corrections and your approval rules. Every action is recorded in the activity log and in the legally required attendance change log, marked as made by the AI assistant.

What stays in the app — on purpose

As a security choice, a few sensitive actions are done only in RayClock itself: changing a user’s role (employee, manager or admin), email or pay; deleting punches (correcting a punch’s time, with a reason, is possible from the chat); reopening a locked month; and approving bank-detail changes — RayClock shows the new account number, and from the chat they can only be rejected. Report recipients can’t be changed from the chat either, and the assistant never sees ID numbers, bank details or salaries.

The admin sees every connection in the company under System → AI assistants, marked “read only” or “read and act”, and can disconnect any of them in one click. Managers and employees see and disconnect their own. If a user’s role changes, their assistant moves to the new role’s access at once — and stops if that role isn’t allowed to connect. Turning off access for managers or employees stops their connections at once.

Questions and answers

Does RayClock work with ChatGPT and Claude?

Yes. RayClock has an MCP server at https://api.rayclock.co.il/mcp. Add it as a custom connector in Claude or as a plugin in ChatGPT, and approve the connection on RayClock’s screen with your RayClock account.

What can the assistant do in RayClock?

Almost everything you do in RayClock: ask about attendance, employees, absences, monthly hours and the shift schedule; add missed punches and correct an existing punch’s time (with a reason), close open punches and record absences; approve or reject requests; lock the month and export the payroll file and other reports; and, in companies with shift management, assign and remove shifts, copy a week and publish the schedule. An admin can also add a new employee and send their sign-in invitation by email or SMS, update employee details, deactivate or reactivate an employee, assign a work profile, manage departments and send announcements to employees. Managers act only on their departments, and employees only on their own data. A few sensitive actions stay in the app on purpose, as a security choice: changing a user’s role, email or pay, deleting punches, reopening a locked month and approving bank-detail changes.

Can I just ask the assistant to close the month?

Yes. Write, for example, “Close September and do whatever it takes”. The assistant checks what’s still open, closes open punches by the work schedule, shows you pending leave requests to approve, exports the payroll file, locks the month and sends the report to your accountant. When a decision is needed, such as whether a missing day was sick leave or a forgotten punch, it asks, and it asks for your approval before every change. Locking the month and sending the report are admin actions.

Who can connect an AI assistant?

By default, only a company admin, with their RayClock email and password. Under System → AI assistants, the admin can also allow managers, employees or both — two separate switches, off by default. Turning a switch off stops that group’s connections immediately. A manager’s assistant sees and acts only on the departments they manage, within their RayClock permissions; an employee’s assistant sees only that employee’s own data.

What can an employee’s assistant do?

Only things about that employee: hours worked this month vs. expected, missing days and overtime, their punches, leave balances and absences, and exporting their own monthly report as a one-time download link. If they chose “allow changes”, it can also request an absence (it goes to their manager for approval as usual), add a punch they forgot — only if the company lets employees correct their own punches — and submit their monthly report. It never sees other employees’ data.

Can the assistant change data?

Yes, if you allow it. On RayClock’s consent screen the person connecting chooses: read only, or also “allow changes” (ticked by default). Before every change the assistant shows what will change, and Claude or ChatGPT asks for your confirmation. Changes follow the same rules as the app and are recorded in the activity log and the attendance change log as made by the AI assistant. Connections created before this stay read-only until you reconnect.

What can’t the assistant do?

As a security choice, a few sensitive actions stay in the app: changing a user’s role (employee, manager or admin), email or pay; deleting punches (correcting an existing punch’s time, with a reason, is possible); reopening a locked month; and approving bank-detail changes (that’s done in RayClock, where the new account number is visible). What data does the assistant see?

Attendance and punches, the employee directory, absences and requests, profile change requests (which field — not the values), the month-end checklist, monthly hours per employee and the shift schedule (in companies with shift management) — that’s what an admin’s assistant sees. A manager’s assistant sees only what relates to the departments they manage, and an employee’s assistant sees only that employee’s own data. Either way, ID numbers, bank details and salaries are never sent to the assistant.

How do I export reports through the assistant?

Just ask, for example “Export the September payroll file”. The assistant returns a one-time download link valid for 15 minutes. The file goes straight to your browser, and its contents never pass through the AI conversation. You can export the daily report, monthly summary, an employee’s month, the absences report, project hours and the payroll file.

How do I disconnect?

Every user — admin, manager or employee — can see and disconnect their own connections in RayClock. The admin sees everyone’s connections under System, on the AI assistants screen, including whether each one is “read only” or “read and act”, and can disconnect any of them. Disconnecting takes effect immediately.
