Example: one employee, two branches

Dana belongs to the “Central branch” department, managed by Avi. On Tuesday she covers a shift at the “North branch”, managed by Michal.

  1. Dana clocks in at NorthFrom her phone or the branch’s NFC tag. The punch is saved with the site name: “North branch”.
  2. Avi sees the punchIt appears in his team’s punch list, with the branch name. He approves it and fixes it if needed.
  3. At month-endAll of Dana’s hours go into one row of the payroll file. In the monthly report filtered to “North branch”, Dana appears because she clocked in there this month.

If employees move between branches regularly, set up a regional department above the branches so the regional manager sees all of them.

Setting up a chain, step by step

  1. SitesEach branch gets an address and a clock-in radius (150 metres by default). For each site you choose whether to block clock-ins outside the radius.
  2. Departments and managersA department for each branch and a manager for each department — and, if needed, a regional department above several branches.
  3. EmployeesImport a list from Excel or CSV, even one exported from another system — RayClock recognises the columns and you confirm. Then send the invitations.
  4. A clock-in method per branchPhone with location check, an NFC tag on the wall, or a kiosk tablet tied to the branch. You can mix them.
  5. The payroll fileShiklulit (Excel or a TAMAL file), or an Excel/CSV template with the fields your payroll system needs.

Questions about chains and branches

Can an employee work at two branches?

Yes. They clock in at whichever branch they work at that day, and all their hours go into the same monthly report.

Do I need to buy a time clock for every branch?

No. Staff clock in from their phone or at an NFC tag on the wall. A kiosk with employee cards is an option, not a requirement.

Is there a limit on the number of branches?

No. Add as many work sites as you need. Up to 150 employees, the price depends only on the number of active employees; above 150, we put together a tailored quote based on employees, sites and the kind of work.

Can I restrict an employee to certain branches?

Yes. On the employee’s profile you tick the branches where they may clock in, and a clock-in anywhere else — by phone, NFC tag or kiosk — is blocked. With nothing ticked, they can clock in at any branch.

Can I see how many hours an employee worked at each branch?

Yes. In the consolidated report, turn on “Split by location” to see each employee’s hours at every branch; the report’s Excel file has a column per branch too. Overtime is calculated over all of an employee’s hours together, so it isn’t split by branch.
