Time clock for field workers

Technicians, installation crews, service staff and people who move between sites. They clock in from the phone where they actually work, and the location is checked only at the moment of clock-in.

Clock in from the phone

A clock-in button and a clock-out button in the Android or iPhone app or in the phone’s browser. Several entries and exits on the same day are fine. More on the attendance app.

A work site with a radius

For each site you set an address on the map and a radius in meters. Every punch is checked against your sites and recorded with the site where it was made.

Many sites, one account

No need to assign employees to a site in advance. Someone who visits three sites in a day gets the right site on every punch in the report.

Hours per project and task

At clock-in the employee can pick a task, and start a timer during the day. You see hours for each project against its budget.

Who forgot to clock out

The manager is alerted to a punch left open or a day with no record. Fix it with a reason, and the fix is kept in the log.

No background tracking

Location is collected only when the employee taps clock-in or clock-out. Between punches the app collects no location.

How to set up a work site

  1. Add a siteIn the admin console, on the work locations screen: site name and address. Find the address on the map, or use your current location while standing on site.
  2. Set a radiusA radius in meters around the site. The default is 150 meters; make it larger for a big site or smaller for a single building.
  3. Decide whether to enforceYou can just flag punches outside the radius, or turn on “Allow clocking only inside this radius” — then a punch outside the radius, or with location turned off, is blocked.

What is checked on every punch

Without an internet connection a punch cannot be sent, and the app does not store punches to send later. A punch that did not go through is completed afterwards with a reason, and the fix is kept in the change log.

What the law saysNo Israeli law deals specifically with GPS time clocks. A person’s location is personal information under the Protection of Privacy Law, 5741-1981, and the labor courts weigh employee monitoring by legitimate purpose, proportionality, transparency and informed consent.
Verification at clock-inOne location, at the moment of the tap, checked against a site set up in advance. That is the minimum needed to verify attendance, and it is how RayClock works.
Continuous trackingCollecting location throughout the day, even when the employee did not punch. That needs a separate, strong justification. RayClock does not collect location this way.
What to do in practiceTell employees in advance, in writing, what is collected, when, why and who sees it. Keep an alternative for people who do not clock in from a phone, such as a tablet station with a card.

Practical questions

Does the system track the employee during the day?

No. Location is checked only at the moment the employee taps clock-in or clock-out. The app does not collect location in the background and does not store a route.

What happens if the employee clocks in outside the radius?

It depends on the setting of the nearest site. Without enforcement, the punch is recorded and marked “outside the work area” in the report. With enforcement, the punch is blocked and the employee sees a message.

And if the employee turned location off on the phone?

The punch is recorded and marked “no location”. If at least one site in the company enforces its radius, a punch without location is blocked.

An employee visits several sites a day. How is that recorded?

Every punch is checked against all of the company’s active sites and recorded with the site whose radius it was made in. The employee can clock out at one site and clock in at the next.

There is no reception on site. Can they clock in offline?

No. Sending a punch needs an internet connection, and the app does not store punches on the device to send later. A punch that did not go through is completed afterwards with a reason — by the employee if you allow it, or by the manager — and the fix is kept in the change log.

Can people log hours to a project from the field?

Yes. At clock-in they can pick a task (optional), and during the day start and stop a task timer in the app. Task hours must fall within that day’s attendance. Details on the projects and tasks page.

Is there an iPhone app?

Yes. The RayClock app is on the App Store for iPhone and on Google Play for Android, with the same email and password. Anyone who'd rather not install it can clock in from the browser.

What about employees without a smartphone?

Put a tablet station on site and give each employee a personal NFC card. Punches from the station and from phones go into the same report.
