How does the free trial work?
The trial lasts 14 days, up to 100 employees, no credit card. When it ends, you choose a subscription and complete payment to keep using the system. There is no automatic charge for the trial; external services and equipment are not included in it.
What counts as an active employee?
An employee whose user account is set to active in the system. The monthly charge is based on the number of active accounts on the billing date. An employee who has left should be marked inactive; simply no longer clocking in does not change the status. On an annual subscription, team growth is accounted for at renewal.
What is billed separately from the subscription?
The software features are included in the subscription. The Form 101 service is billed directly by an external provider; NFC tags and cards and station equipment are ordered separately.
What happens when we cross a tier threshold?
When the charge is calculated, the price tier is set by team size and applies to all employees. On an annual subscription, the extra charge for team growth is calculated at renewal based on the peak number of active employees during the period.
Is there a setup fee?
There is no setup fee for the system. If you choose NFC or kiosk clock-in, also factor in the physical equipment required.
Can I cancel at any time?
You can cancel automatic renewal at any time. The subscription stays available until the end of the paid period — a month or a year, depending on the plan you chose.
Does the price include VAT?
No. All prices on the site are excl. VAT — VAT at the legal rate will be added to the invoice.
Is Form 101 included in the price?
No. The digital Form 101 is provided through an external service. The connection to it is built into the system at no extra cost from us, but you will be billed for the service itself directly by the provider.
Is the AI assistant included in the price?
Yes. Connecting RayClock to ChatGPT and Claude is included in the subscription and in the free trial, at no extra cost from us. You only need a ChatGPT or Claude account that lets you add a custom connector — most paid plans do. How to connect an AI assistant.
