New employee onboarding form
A checklist for everything to arrange when a new employee joins: what to prepare before the first day, what to fill in on it, and what must be ready by the end of the first month. Tick it on screen and print it for the employee file, or print it blank. No sign-up.
A new employee's documents
Form 101
The employee fills in Form 101 when starting work and at the start of every tax year, so the employer withholds the right income tax — including credit points and work for another employer. Without a completed form, the employer must withhold tax at the top bracket. The full explanation is in what is Form 101, and you can also send a digital Form 101 to sign on the phone.
Notice of employment terms
Under the Notice to Employee and Job Candidate Law, the employer gives the employee, within 30 days of the start of work, a written notice with the main employment terms: who the employer is, the role, the start date, the pay, the length of the working day and week, the weekly rest day and the social insurance payments. An employment agreement that includes all these details can also serve as the notice.
Recording hours from the first day
The duty to record work hours applies from the first day, including during a trial period. If you still record by hand, there is a printable monthly timesheet; if you want the employee to clock in from their phone on the first morning, add them to the attendance clock app before they arrive.
After onboarding
Keep the signed checklist in the employee file. When the employee wants to take time off, there is a printable vacation request form, and for planning the year — the 2027 calendar with holidays.

Questions about onboarding a new employee
Which forms does a new employee need to fill in?
Usually: an employment agreement, Form 101 for tax withholding, a pension enrollment form, and a confirmation of safety training. The employer must also give the employee a written notice of employment terms within 30 days of the start of work.
What is the difference between Form 101 and the notice of employment terms?
The employee fills in Form 101 so the employer withholds the right amount of tax. The notice of employment terms is a document the employer gives the employee, with details such as the role, the pay, the work hours and the weekly rest day.
When does a new employee join a pension plan?
Under the mandatory pension extension order, the date depends on whether the employee already has a pension fund and on their seniority with the employer. Check the right date for each employee with the insurance agent or the accountant on the first day.
Must a new employee's work hours be recorded from the first day?
Yes. The duty to record work hours applies from the first day, including during a trial period. The simplest way is to add the employee to the attendance system before they arrive, so they clock in on the first morning.
