Practical questions

Does the system apply the 7-hour night working day?

Not automatically. Under the Hours of Work and Rest Law, night work is a working day with at least two hours between 22:00 and 06:00, and its working day is 7 hours. RayClock does not detect night work by itself: for staff who work nights regularly you set up a separate work profile with a 7-hour working day, so every hour beyond it counts as overtime. Someone who mixes day and night shifts needs a check by whoever prepares payroll. Details in the guide to daily working hours.

How do we know a caregiver’s credential is about to expire?

Each employee file has a list of credentials with expiry dates, and the system sends an alert before expiry, as many days ahead as you set. Whether to schedule them stays the manager’s decision.

Some of our staff have work permits. Can we track their validity?

Yes. The work permit is saved in the employee file as a credential with an expiry date, and the system sends an alert before it expires, as many days ahead as you set.

Does a swap between employees take effect immediately?

No. The two employees agree between themselves, and only the manager’s approval moves the shifts in the schedule. That way the schedule never contradicts itself.

A caregiver forgot to clock out after a night shift. What happens?

The manager gets an alert about the punch left open, and fixes it with a reason that is saved in the log.

Does the system store medical information about residents?

No. RayClock manages the staff — attendance, shifts and employee files — not information about residents or patients.
