Exporting attendance to Shiklulit

At month end you download a TAMAL-5.DAT file from RayClock in Shiklulit's import format, and the payroll accountant imports it instead of typing hours and days for each employee.

Five steps from the month to the import

Check the employee number

In each employee file, fill in "payroll number" — their number in Shiklulit. If it is empty, the RayClock employee number is used. Digits only, up to 7 digits.

Review and lock the month

Handle shortfalls, open punches and pending requests, then lock. After locking the month cannot be changed; only the system admin can unlock it.

Download the file

On the payroll export screen, choose the built-in Shiklulit template (TAMAL-5.DAT), the month and, if needed, a department. The file downloads as TAMAL-5.DAT; do not rename it.

Import into Shiklulit

The payroll accountant imports the file into Shiklulit using their usual attendance import procedure. The accountant can also download the file from the accountant panel.

Check the result

Compare what was imported with the RayClock monthly report, and add by hand whatever is not in the file. Details below.

Before the file downloads, the system warns about employees without a valid payroll number — empty, non-numeric, 0 or longer than 7 digits — and lists their names. You can cancel, fix them and export again.

What is in the file

One general record per active employee, with the figures for the selected month.

Each record is a 128-character line (126 data characters plus a line break). Quantities are written with two implied decimals and no point: 165.5 hours is 0016550. An additional absence type that has a Shiklulit component code goes out as a separate component record (type 1); of the built-in types, only sick, vacation and reserve duty are linked to Shiklulit, and they go out in the general record.

What is not in the file

The file carries total hours and days. Check these items in the monthly report and enter them in Shiklulit as needed:

Overtime and Shabbat breakdown

Overtime by tier (125%, 150%) and Shabbat and holiday hours are calculated in the monthly report, but do not go out as separate fields in the file.

Other absences

Personal, unpaid, maternity, bereavement and types you added yourself are not in the file. Requests that were not approved are not included either.

Inactive employees

Only active employees are included. For an employee who left mid-month, export before marking them inactive, or enter their figures by hand.

What to check after the import

Number of employees

The number of employees imported equals the number of active employees in the file, and nothing landed under employee 0 or a number Shiklulit does not recognise.

Hours and days

Compare a sample of employees with the RayClock monthly report: actual hours and work days.

Absences

Sick, vacation and reserve-duty days match the month's approved absences.

Items entered by hand

Overtime, Shabbat and holiday hours, and absences not in the file were entered according to the report.

Using a different payroll system? In payroll export you define an Excel/CSV template, including 125% and 150% overtime columns. The absences in the file come from absence and leave management, and the figures themselves from the monthly report.

Questions about the Shiklulit export

How do I export attendance to Shiklulit?

Lock the month, then on the payroll export screen choose the built-in Shiklulit template and the month. A TAMAL-5.DAT file downloads with one line per active employee, and the payroll accountant imports it into Shiklulit.

Why must the file name not be changed?

The import software expects the name TAMAL-5.DAT, so the system downloads the file with exactly that name. If the browser added a number to the name, for example on a second download, change it back to the original.

Which employee number goes into the file?

The payroll number from the employee file. If it is empty, the RayClock employee number is used. It must be digits only, up to 7 digits and not 0 — otherwise the system warns before export, because the figures would be recorded under employee 0.

Is overtime included in the file?

The file includes total actual hours and work days, without a breakdown into overtime tiers or Shabbat and holiday hours. You see that breakdown in the monthly report, and you can also export it in an Excel/CSV template.

Do I have to lock the month before exporting?

You can export an open month too, but locking first is recommended so the figures do not change after the file has gone out. Only the system admin can unlock a month.

Can the accountant download the file themselves?

Yes. Invite them to the free accountant panel, and they download the export files from there — read-only and under the company's control. More on the accountant panel.

Can I export a single department?

Yes. The export screen can filter by department. A manager who is not the system admin exports only their own departments.
