Export attendance to Michpal

At the end of the month RayClock produces a QDIV file — the attendance-report file that the Michpal payroll software imports directly, so nobody retypes days and hours for each employee. Here: what is in the file, what you set up once, how to import it and what to check.

What is in the file

The file follows Michpal's "Instructions for preparing an attendance report file": one report row for each employee and each data point, with the report symbol that Michpal assigned to it. Michpal defines most of the symbols itself, so the file is useful from the first month with no setup.

DataReport symbol in Michpal
Working days100 paid working days, 124 days actually worked.
Hours worked125 hours actually worked, 122 paid hours (for an hourly employee), 127 the monthly standard hours. Symbols 124, 125 and 127 are the data that the Wage Protection Law requires on the payslip.
Vacation, sick leave, reserve duty101, 102 and 104 — usage in days, based on the absences approved in RayClock.
Hours by rateHours at 100%, 125%, 150% (and 175%/200% when there are any) — each under your wage component number in Michpal, once you set it up. The components add up exactly to the total hours.
Employee identificationThe employee number in Michpal (1–9999) and the national ID number, on every row. One of them is enough.

File name: QDIVmmyy.nnn — month, year, and the company number in Michpal as the extension. RayClock gives it this name, and you do not rename it.

Set up once

  1. Your company number in Michpal In Settings > Company details, enter your company number in Michpal (up to 3 digits). It goes into every row of the file and is also the extension of the file name — without it there is no export.
  2. Employee number or national ID On the employee card, fill in the "Payroll employee no." field with the employee number as it appears in Michpal (1–9999). If the national ID number is already on the card, Michpal can identify the employee by that too, and you can skip this. If an employee has neither, the system warns you before every export.
  3. Component symbols for hours by rate — optional Days, hours and absences go out under Michpal's fixed symbols with no setup. For the hours to also split into 100%/125%/150%, we need your wage component numbers in Michpal — your payroll accountant knows them; write to us and we will set them for your company once.
  4. Invite your payroll accountant Optional, but it saves you a message every month: invite them to the free accountant portal, and they download the file themselves with read-only access.

Every month, four steps

  1. Review and lock the month Go through the monthly report: days without a record, missing clock-outs and absence requests waiting for approval. After the corrections, lock the month so that the file imported into payroll does not change afterwards.
  2. Export On the "Payroll export" screen, choose the template 'Michpal — QDIV file' and the month, then click Export. You can also export a single department. The file is saved under the name Michpal expects, for example QDIV0426.007 — do not rename it.
  3. Import into Michpal In Michpal, start the attendance-report import from a file and point it at the file you downloaded. The structure the file follows is Michpal's document "Instructions for preparing an attendance report file", found in the help documents on Michpal's website (under the QDIV file creation instructions).
  4. Check three things For one employee — that the hours actually worked (symbol 125) equal the monthly report in RayClock. For an employee with overtime — that the 125% and 150% components received the right hours. And for someone who was sick or on vacation — that the usage reached the right symbol. After the first month it becomes a one-minute habit.
Closing the month — a laptop and coffee at the end of the day

What the file does not do

It does not replace the payroll accountant's review. It carries hours by rate, not by reason — a Shabbat hour at 150% and an overtime hour at 150% go into the same component. It never writes a component with 0, because in Michpal that resets the component for the employee. An absence with no fixed symbol in Michpal (for example a bereavement day) is left out, not invented. And for an employee who has stopped working, export them before you deactivate their account.

The file is built to Michpal's official specification and checked automatically, field by field, in every release. On your first import, it is worth having your payroll accountant go over one payslip — and if anything does not add up, send it to us and we will fix it the same day.

Questions about the Michpal export

What is a QDIV file?

It is the attendance-report file that Michpal imports from time clocks. Its name is QDIVmmyy.nnn — month, year, and the company number in Michpal as the extension (for example QDIV0426.007 for April 2026, company 7). RayClock produces it with the correct name, and you do not rename it.

How does Michpal identify the employee?

By the employee number in Michpal (1–9999), which you fill in the "Payroll employee no." field on the employee card — or by the national ID number, if it is on the card. An employee with neither is flagged before the export, so that they are not written to the file as employee 0.

Do I have to set up component symbols before the first export?

No. Working days, hours, the monthly standard, and vacation, sick leave and reserve duty usage go out under Michpal's fixed symbols with no setup at all. Only the split of hours by rate (100%, 125%, 150%) needs your wage component numbers in Michpal — your payroll accountant gives you those, and you set them once for the company.

Why does the file not include a component with 0?

Because in Michpal, a report with quantity 0 resets that component for the employee. So a data point with nothing in it is not written at all — an employee with no sick days simply gets no sick-leave row.

Can the accountant download the file themselves?

Yes. Invite them to the free accountant portal, and they download the QDIV file for each month with read-only access, without asking you.

We use another payroll system?

Shiklulit and Rivhit have dedicated files of their own; for other systems you build an Excel or CSV template with the columns your system imports. All the options are on the payroll export page.
